General Functions and Key Activities:

Ensure JO/dispatches are issued accurately and in a timely manner. Communicate with trucking company, customer service, and shipper on door moves/deliveries to ensure all parties are informed of activity. Set up door deliveries with local trucking vendors and follow movement to make sure customers’ schedules are met. Coordinate with Customer Service, Traffic, and Equipment Control to ensure containers are moved as planned and vessel schedules are maintained. Track/Trace containers to ensure they are moved according to plan, coordinate with respective railroads as necessary. Monitor vendor statements; issue, correct, and process both TR and NT job orders as necessary to expedite vendor payment. Process city component request and establish the most cost effective inland routing and request rate input as necessary. Complete respective intermodal reports as required.

Additional Qualifications or requirements:

Knowledge of the trucking and rail industry and the rules that govern such. Computer, Customer Service and organizational skills. Familiararity with and trace systems with various railroads. Past experience with trucking vendors,freight forwarders,Ocean shippers, and rail facilities.

General Functions and Key Activities:

Correspondence and resolution of issues with Terminals/Vendors/Customs/Customers/local and overseas offices - via phone & email; Terminal and IRIS report reconciliation including verification of proper route/transshipments; i.e., no China/China t/s for waste cargo, autos, etc., trucker problems / troubleshooting; Tracking/Tracing of all cargo for POL's handled by Houston Service Center
Vessel cut-off monitoring and system update, Vessel allocation monitoring
Various reports including, but not limited to: Daily Summaries, Falldowns, IRIS reports, checklists, vendor invoice, EEI reports, load lists, pre-stows, special stowage reports, CBF's, DCM's, Reefer Manifests, etc.

As the Documentation Coordinator you will need to perform the following duties and responsibilities:

1) check, handle research, and reply to queries from the Shanghai Documentation Center;

2) call shippers for shipping instructions based upon list from Shanghai Documentation Center;

3) handle all B/L amendments (corrections) from customers after EOV manifest has been sent to overseas agents;

4) research rate problems in order to assist the Shanghai Documentation Center; work with Trade Department, Sales and Pricing to resolve rate problems;

5) check the hazardous bookings against IMO declarations and manifest; heavy customer contact in order to retrieve IMO declarations; liaison with appropriate booking offices to amend bookings forwarded to overseas agents;

6) read, check, and organize emails from email boxes ECmasters and Oakmasters; distribute accordingly to both Shanghai Documentation Center
and within our Department (Shanghai Support Center).

Review articles of law of CCLA’S vendor contract, follow up the progress of contract negotiation; assess potential risk and exposure to additional costs and liability before contract execution; file & maintain signed contracts efficiently.

Review articles of law of CCLA’S sales contract, ensure all articles are in the best interest of each party; delete articles which are not beneficial to CCLA.

File sales contracts after execution.

Review articles of law of non-transportation (IT, property lease), ensure all articles should be justice to each party, and file these contracts carefully.
Provide contracts to concerned department.

Understanding COSCO’S weekly strengths, as COSCO changes, the BDT people change firstly and direct the sales staff, services, revenue, volume, policies.

Constant review of stats to help secure cargo to maximize moving containers from US surplus areas to overseas. Identify accounts then disseminate to sales teams.

Constant review of stats to help make sure the sales people are also calling on the correct account base to meet the COSCO needs. Work with sales preplans.

Working the East Bound Stats to make sure that sales are approaching the most logical accounts within their regions.

Work with the West Bound pricing people to make sure that cargoes identified in the stats are all positive generating commodities to meet the WB pricing guidelines.

Prequalify and develop new accounts when possible to commitments materialize we will transition to the sales team around 50 TEU or greater.

Prepare lifting reports and presentations for top accounts.

Have the ability to create professional presentations for sales people when targeting key accounts.

Be well versed in Access, Excel, PPT, Word.

Training for people with the aptitude to learn.

An interest in Marketing to help push our brand forward.
